Trade Fair and Congress Videography: A Complete Planning Guide

Back to Blog
Trade fair and congress video production planning

Trade fair and congress video production is planned in three phases: pre-production (site survey and technical briefing), on-site shoot management, and post-production delivery. Skipping any of these phases is where crews miss key moments in crowded, fast-moving events. This guide walks through what matters at each stage for conference videography and trade show videography projects in Turkey.

Trade Fair vs. Congress Videography: Key Differences

Trade fair filming centers on the stand, product details, and visitor interaction — the crew spends most of the day moving. Congress videography centers on the stage, speakers, and session flow — camera positions are more fixed, but multi-session schedules and simultaneous interpretation add technical complexity. Both share the same production discipline; the on-site plan is what differs.

Pre-Production Planning

A solid production is built at the planning table, long before the shoot:

We recommend booking at least 2 weeks in advance for trade fair videography; during peak fair season (autumn), earlier is better.

On-Site Shoot Management

At a trade fair, the crew works in and around the stand throughout the day. At a congress, fixed and handheld camera positions are set around the stage in advance. In both formats, program tracking is critical — a director or coordinator manages, in real time, which moment gets captured on which camera. This was exactly the model we ran for TAWAZUN and EDGE Group at SAHA Expo: a multi-stand, multi-day event covered by a tightly coordinated crew.

Post-Production: Delivery Timelines and Formats

Standard delivery is 2–5 business days; same-day delivery is available on request for expedited turnaround. Highlight footage typically ships first as an aftermovie, with the full recording and interview cuts following on an agreed timeline.

How Many Crew Members Are Needed?

A single camera operator is usually enough for a small trade fair stand; larger or multi-point stands call for two. For a congress of 500+ attendees, we recommend a minimum of two camera operators and one director — one camera on the stage, one on the room and audience reactions. At multi-hall congresses, each hall gets its own camera/operator, coordinated centrally by one director.
