Hiring an event videographer is a one-shot decision — once the event is over, there’s no second take. Yet most companies make this call based on a price quote and a couple of sample videos alone. 1. Does your portfolio include events similar to mine?
A wedding videographer and a corporate congress crew don’t need the same skill set. Look for genuinely comparable scale and event type in their portfolio, and ask exactly what role they played on each project.
2. How many crew members will be on-site?
A single camera operator works for a small meeting; a multi-hall congress or a large trade fair stand often needs more than one. Ask how crew size scales with event size.
3. What equipment do you use? Do you carry backup gear?
There’s no reshoot on event day, so ask whether they carry backup equipment in case of a camera or audio failure — and whether the gear is owned or rented.
4. What is the standard delivery timeline?
Standard delivery usually runs 2–5 business days; if you need same-day delivery, confirm upfront whether that’s a separate service with its own cost.
5. Do you deliver raw footage?
Some videographers only hand over the final edit. If you need raw footage for archival purposes, get that written into the agreement beforehand — it’s a detail that often surfaces too late.
6. How do you handle music licensing and copyright?
Ask whether the music is properly licensed — unlicensed tracks can get your video flagged or taken down on social media. A crew using a licensed music library removes that risk entirely.
7. Can you provide same-day social media content?
To capture the event’s energy while it’s fresh, ask whether at least a short teaser can go out the same day. A video that lands a week later has already lost most of its momentum.
8. What is your contract and cancellation policy?
Clear terms for weather, illness, or schedule changes prevent disputes later. Don’t agree to work without a written contract.
9. Can you provide references from past clients?
A serious videographer or agency won’t hesitate to connect you with a few past corporate clients. Reluctance to share references is worth questioning.
10. Do you conduct a venue survey before the event?
A crew that hasn’t seen the venue, lighting, or schedule in advance is more likely to run into surprises on the day — especially at unusual or technically demanding venues.
